Title: Administrative manager
We're looking for a versatile professional with diverse skills; secretarial and organizational, tech skills including familiarity with accounting software, accounting experience, project timeline and calendar management as well as communication amongst team members. Some legal and contractual HR experience and basic knowledge of PR are also required. Candidate must have prior experience in most of these skills as well as working with a team for some time.
Prepare monthly progress reports on all running projects.
Sit on meetings and take detailed minutes to be sent to team and clients.
Set project timelines and ensure deadlines are met internally and by the client.
Request and compare offers from third party suppliers like printers, web Contact/follow-up with clients and suppliers on all logistic matters.
Coordination between the designers and suppliers. developers, manufacturers, editors, translators, producers, photographers, filmmakers, and others.
Manage office supplies and ensure office space is well-organised.
Manage the office calendar, set vacations and coordinate leaves.
Assist Creative Directors on all operational and logistic matters.
Collect and organize all invoices and receipts.
Prepare offers, contracts, invoices and receipt issued by the studio.
Set payment schedules and follow up on payments from clients and payments for suppliers.
Collect and deposit payments from clients and to suppliers.
Set reminders for tax payments with the auditor and handle their timely payments.
Assist Creative directors in updating the company’s website and social media platforms.
Write up calls and announcements.
– BA in Business Administration or equivalent (or accounting)
– 2-3 years of work experience
– Good communication and negotiation skills
– Fluent in English and Arabic, working knowledge of French
– Good Microsoft Office Skills
